Job Description:
MAIN PURPOSE OF JOB: To provide administrative support to the Human Resources team and to be responsible for managing information related to staffing matters, taking account of confidentiality at all times. KEY TASKS: - To ensure that HR related management information data is accurate and relevant and produce relevant reports when necessary. - Work closely with HR Assistant and HR Manager on the recruitment of all new staff. Including initial response to applicants; booking interviews and confirming them; meet and greet; sending rejects and ensuring all details are entered onto the HR database and updated regularly. - Assist with the response to speculative employment enquiries. Ensure that the data is retained in a readily accessible form and is discarded after 1 year. - Issue offer letters and contracts to successful candidates. Manage and conduct induction process for new permanent staff. - Produce reports for SMT at the end of recruitment assignments including information around gender, ethnicity etc. - Keeping accurate and up to date record on all ex-employees ensuring Leaver documents are kept within the parameters of the data protection act. - To maintain up to date and accurate records of all staff, creating, updating and maintaining manual files, ensuring the correct information is obtained and stored. To create, update and maintain computerised records, initiating changes to the system as appropriate. - To prepare purchase orders for items within HR budgets, recording information for any services provided by HR and to follow up obtaining authorisation and signatures as required. - Ensure correct information regarding salaries and associated benefits are recorded on ASR; liaise with Payroll regarding changes to Salary and bonus information and ensure correct termination payments are recorded. - Respond to other enquiries, mortgage/rent reference requests, Salary surveys and staff issues as required - Organise internal/external meetings/events, including booking rooms, refreshments etc where necessary COMPLEXITY AND CREATIVITY - PROBLEM SOLVING Wide range of issues arise as part of the job and the post holder must be able to recognise the sensitivity of issues and be able to give appropriate responses. Initiating improvements to systems, procedures and documentation Design/selection of appropriate reports from ASR Initiate appropriate ASR enquiries to meet regular and ad-hoc MI needs Amend ASR set-up to meet changing business needs Solve problems related to all aspects of Personnel systems Use own initiative frequently as issues arise
